Privacy Policy

PopsicleAI is operated by Roli LLC (“we”, “us”). You can reach us at george@notifications.waithub.app.

For researchers’ accounts, we decide how that information is used. For interviews, the researcher who runs the study decides what to ask and what happens with the answers, and we process interview data on their behalf. If you took part in an interview and have a question about your data, contact the researcher who invited you. We’ll help them answer it, and you can also write to us.

From researchers and their teammates:

• Account details: your email address and password (stored only in hashed form by our sign-in provider). If you sign in with Google or Apple, we receive your name and email address from them.
• Workspace details: your team’s name, the people you invite and their roles.
• Study content: the briefs, interview instructions, images, videos and links you add to studies.
• Billing details: your plan, minute balance and purchase history. Card details are collected and stored by Stripe, not by us.
• API keys you create, which we store only in hashed form.

From interview participants:

• The name and email address you enter before an interview, and the language you choose.
• The interview itself: your voice, anything you choose to share on screen or camera, messages you type, photos you share, and the transcript of the conversation.

From everyone who uses the site:

• Technical information such as your IP address, browser and device type, and logs of requests, kept by our hosting providers to run and secure the service.
• Essential cookies and browser storage that keep you signed in and remember preferences such as your current workspace. We don’t use advertising or analytics trackers.

• To run the service: conducting AI interviews, recording and transcribing them, and producing findings, summaries and share links that researchers ask for.
• To bill for interview minutes and manage plans.
• To send service emails, such as sign-in and password emails, team invites, and balance and payment notices.
• To keep the service secure, prevent abuse, fix problems and provide support.
• To meet legal obligations, such as tax records.

We don’t sell personal information and we don’t show ads. We don’t use interview content to train AI models. Our AI provider processes it only to provide the service, under terms that don’t allow it to train its models on this data.

We use these service providers to run PopsicleAI. They process data only on our instructions:

• Supabase: database and sign-in.
• Vercel: website hosting.
• Amazon Web Services: storage for recordings and uploaded files.
• LiveKit: real-time audio and video during interviews.
• OpenAI: the AI interviewer, transcription, findings and the study builder.
• Stripe: payments.
• Resend: email delivery.
• Google and Apple: sign-in, only if you choose to use them.

Interview data is visible to the researcher who ran the study and the teammates in their workspace. If a researcher creates a share link for a report, anyone with that link can see the report and the clips the researcher included, until the researcher turns the link off.

We may also disclose information if the law requires it, to protect people’s safety or our rights, or as part of a merger or sale of our business, in which case this policy will continue to apply.

Studies, recordings and transcripts are kept until the researcher deletes them or closes their account. When a recording or study is deleted, we delete its files from storage.

To delete your account, email george@notifications.waithub.app. We’ll delete your account and workspace data within 30 days. We keep billing records for as long as tax and accounting laws require. Copies in backups are removed as the backups expire.

Data is encrypted in transit, access is limited by account and workspace, and secrets such as API keys are stored hashed. No system is perfectly secure, so please use a strong password and keep API keys private.

We and our providers process data in the United States. If you’re outside the US, your information will be transferred there.

Depending on where you live, including under the GDPR, UK GDPR and California law, you can ask to access, correct, delete or export your personal information, or object to or restrict how it’s used. Email george@notifications.waithub.app and we’ll respond within 30 days. Participants can also ask the researcher who invited them. You won’t be treated differently for using these rights, and you can complain to your local data protection authority.

We don’t sell personal information or share it for cross-context behavioral advertising.

PopsicleAI isn’t meant for children. Researchers must not use it to interview anyone under 16, and you must be 18 or older to create an account.

We’ll post any changes on this page and update the date above. If a change is significant, we’ll also email account holders before it takes effect. Using PopsicleAI is also covered by our Terms of Use.
